Measures delivery against committed contractual SLAs. This is the most objective dimension — scored from system data and support records, not subjective assessment. Includes SLA achievement rate, support resolution times, platform uptime, and defect escape rate. Vendors who consistently deliver against SLAs score well here regardless of other dimensions.

2. Commercial Value (25 points)

Measures the commercial efficiency of the relationship beyond headline price. Includes price-per-unit trend, benchmarking position against market (drawn from the relevant pricing benchmark articles for each vendor), entitlement utilisation rate, and willingness to offer commercial flexibility during the relationship. A vendor at 20% below market with high utilisation scores better than one at 30% below with 40% shelfware.

3. Strategic Alignment (20 points)

Measures the degree to which the vendor's product roadmap and investment priorities align with the customer's strategic direction. Includes roadmap transparency, product velocity, investment in the capability areas relevant to the customer, and openness to joint roadmap influence. This dimension is most important for Tier 1 vendors where multi-year platform dependency is high.

4. Risk Profile (15 points)

Measures the risk exposure associated with the vendor relationship. 5. Relationship Quality (10 points)

Measures the qualitative dimensions of the working relationship. The three scores are averaged where there is disagreement, but significant divergence (more than 1.5 points on any metric) should trigger a structured conversation. Disagreements about performance scores in particular often reveal information gaps — the IT team may not be aware of how the vendor's pricing compares to market, while procurement may be unaware of operational issues affecting service quality.

Scores are updated quarterly for Tier 1 vendors, semi-annually for Tier 2, and annually for Tier 3. Score trends over time are as important as absolute scores — a vendor declining from 75 to 62 over three quarters is more concerning than one who has been steady at 58.

How to Use Scores in Negotiations

The scorecard's commercial application is in renewal negotiations. Important Caveat

A vendor can score highly overall but have a critical failure on a single dimension. A score of 75/100 with a Risk Profile score of 1/5 (indicating serious financial or audit risk) should trigger a risk response regardless of the overall score. The model should never be applied mechanically — overall scores are inputs to judgement, not substitutes for it.

Should you share the scorecard model with vendors?
Yes — transparency about the scoring model is generally beneficial. How do you score vendors in the first year of a relationship?

How do you handle vendors who dispute their scores?
Score disputes are productive if they surface information gaps. A vendor who disputes a Performance score of 2/5 should be asked to provide their own data — if the dispute reveals a genuine data discrepancy, the score should be corrected. If the vendor's data simply disagrees with the customer's, document both positions. Persistent disputes about factual metrics (SLA achievement, uptime) that are not resolved through data discussion are themselves a Relationship Quality indicator worth scoring.
